Voltalyze BOS

Operations software for aesthetic clinics and medspas.

Clinics run consultations, courses of treatment, staff with different permissions and records that must stay controlled. Voltalyze BOS covers the business operations around that work: scheduling, records, consents where supported, payments, packages and reporting.

Where it fits

  • An independent practitioner running their own clinic days.
  • A clinic with practitioners, reception, permissions, courses and reporting.
  • One system for the diary, the money and the customer-facing site
Daily reality

What gets in the way on a normal day

These are the operating problems this kind of business runs into, before any software is involved.

Consultations and treatments are different appointments

A consultation may lead to a course booked weeks later, and both need to sit on one client record.

Not everyone should see everything

Reception, practitioners and owners need different access to client information and financial data.

Courses are sold and delivered over months

Revenue recognised at sale and treatments delivered later have to reconcile.

Records must be findable

Notes, consents and history need to be attached to the client, not stored across devices.

How it works, part 1

Consultation and treatment workflows

Book a consultation, record the outcome and schedule the treatment plan from the same record.

  • Consultation appointment types
  • Treatment and service history where supported
  • Forms and consents where supported
  • Follow-up and review appointments

Permissions and controls

Roles decide who can see records, change prices, issue refunds or view financial reporting.

  • Role-based permissions
  • Approvals for sensitive changes
  • Audit history where available
  • Owner views across the clinic

Website and online store

Your own website, connected to the same records

Clinic pages with services, practitioners, opening hours, policies and booking on your own site and your own domain, written in the language your regulator and your clients both expect.

  • Your own domain, connected during setup
  • A client portal
  • Services, team and opening hours
  • Booking written into the same calendar
  • Reviews and customer portal

Your own domain

  • Your pages run on your own domain. Voltalyze connects it during setup, so clients land on your address rather than a shared one.
